2. Data we process

• Account data: name, email address, hashed password.
• Task and notes data: content you create, edit, and organize.
• AI inputs and outputs: text prompts, generated task content, optional audio recordings sent for transcription.
• Weather/location data: approximate location from IP or precise coordinates if you grant geolocation permission.
• Technical/security data: session/authentication tokens, basic request metadata, and security logs.

3. Why we process data (lawful basis)

• Contract: to create accounts, authenticate users, and provide task, notes, and sync features.
• Consent: for optional microphone and geolocation access in your browser.
• Legitimate interests: to secure the app, prevent abuse, and maintain service reliability.
• Legal obligation: where required by applicable law.

4. Third-party processors and recipients

We use third-party providers to deliver specific features, such as AI generation/transcription and weather data. Depending on feature use, limited data (for example prompts, audio snippets, or location query values) may be sent to those providers strictly to fulfill your request.

You should maintain Data Processing Agreements (DPAs) with each provider and document transfer safeguards where data is processed outside your jurisdiction.

5. International data transfers

Some providers may process data outside the EEA/UK. Where this occurs, appropriate safeguards should be used (for example, Standard Contractual Clauses) and documented in your vendor records.

6. Retention

• Account and notes data are kept while your account is active, then deleted or anonymized per operational/legal requirements.
• Audio/transcription payloads are processed to provide the feature and should not be retained longer than necessary.
• Security and operational logs are retained for a limited period needed for abuse prevention and troubleshooting.

7. Your GDPR rights

• Access a copy of your personal data.
• Correct inaccurate personal data.
• Delete your account and related personal data.
• Receive your data in portable format (export).
• Object to or restrict specific processing where applicable.
• Withdraw consent for optional permissions at any time.

You can currently use in-app account export/delete controls, and you may contact us for additional rights requests.

8. Cookies and sessions

Taskmee uses essential session/authentication cookies required for sign-in and secure app usage. We do not use non-essential cookies without an appropriate legal basis and notice.

9. Security

We apply reasonable technical and organizational measures to protect personal data. No method of transmission or storage is completely risk free, so we continuously improve safeguards.
